Refund Policy

Helen & Ben Early Years and Preschool (“the Centre”) is committed to maintaining a transparent, structured, and sustainable fee system to ensure operational stability and quality educational services.
By enrolling your child and making payment, you acknowledge that you have read, understood, and agreed to this Fee & Refund Policy.
1. Registration & Enrollment
A non-refundable registration fee, facilities fee, and curriculum fee are payable upon enrollment.
These fees cover:

Administrative processing
-
Child placement reservation
-
Documentation & onboarding
-
Curriculum preparation
-
Facility readiness
All registration-related fees are strictly non-refundable and non-transferable.
A deposit must be paid before a child is permitted to commence attendance.
2. Payment Structure
Helen & Ben offers two payment options:
Option 1: Semester Saver Package & Happy Tummies Plan
This package includes:

Education fees
-
Meals (Happy Tummies Plan)
-
School supplies
-
Curriculum & facility usage
Fees are collected every six (6) months.
Eligibility: Available exclusively to parents who have fully settled annual registration, facilities, and curriculum fees.
Grace Period: A 7-day grace period is provided from the invoice date.
Failure to pay within 7 days will result in:

Automatic reversion to normal monthly rate
-
Revocation of package privileges and discounts
Option 2: Monthly Fee Payment
Monthly fees are payable in advance.
Payment is due on or before the 2nd of each month to secure your child’s placement at the Centre.
3. Late Payment Policy
Any payment not received by the 2nd of the month shall incur:

RM50 late payment penalty (effective from the 3rd), and
-
RM10 per additional day until full payment is received.
If payment remains unpaid for 30 days after the due date, the Centre reserves the right to:

Suspend the child’s attendance
-
Demand immediate settlement of all outstanding amounts
-
Initiate withdrawal procedures
-
Forfeit deposit (where applicable)
This policy is strictly enforced to maintain operational sustainability.
4. Fees During Absence
Fees remain strictly payable regardless of:
-
Absence
-
Medical leave
-
Vacation
-
Public holidays
-
Personal reasons
-
Temporary non-attendance
No refunds, rebates, prorated adjustments, or fee reductions will be granted.
5. Deposit Policy
A deposit is required upon enrollment.
Withdrawal Notice Requirement: A minimum of two (2) months written notice is required.
Upon official withdrawal:
-
The deposit may be applied toward the final outstanding bill; or
-
Refunded after deducting any unpaid amounts.
Failure to provide the required two-month notice will result in full forfeiture of the deposit.
The deposit is:

Non-transferable between siblings
-
Not convertible into future enrollment credit
-
Not transferable to another child or family
6. Non-Refundable & Non-Transferable Fees
All fees paid to Helen & Ben are strictly non-refundable and non-transferable.
This includes but is not limited to:

Registration fees
-
Administrative fees
-
Facilities fees
-
Curriculum fees
-
Semester Saver Package
-
Happy Tummies Plan
-
Event fees
-
Workshop fees
-
Field trip fees
Payments made are considered final once processed.
7. Centre-Initiated Termination
In the event the Centre terminates enrollment due to operational reasons (including restructuring, regulatory requirements, capacity adjustments, or Force Majeure Events):

Any unused prepaid tuition fees may be refunded on a prorated basis at the sole discretion of Management.

Registration, administrative, curriculum, facilities, and one-time fees remain strictly non-refundable.
Termination due to:
-
Breach of Centre policies
-
Disciplinary matters
-
Non-payment of fees
shall not entitle parents to any refund.
The Centre shall not be liable for indirect or consequential losses arising from such termination.
8. Refund Request Procedure
Refunds, where applicable under this policy, must:
-
Be submitted in writing via email to: helenbeneducation@gmail.com OR via the official school app system.

Include proof of payment
-
Include supporting documentation (if required)
-
Be submitted within seven (7) days from the relevant transaction date
Failure to comply may result in automatic rejection.
Approved refunds (if any) will be processed within 30 working days via the original mode of payment unless otherwise determined by Management.
9. Accepted Payment Methods
We accept:

Debit Card

Credit Card
-
E-Wallet (MAE / QRPay)
All transaction fees (if applicable) shall be borne by the payer.
10. Force Majeure
Helen & Ben shall not be liable for any delay, suspension, interruption, or inability to perform obligations arising from events beyond the Centre’s reasonable control (“Force Majeure Events”).
Force Majeure Events include, but are not limited to:

Pandemic, epidemic, or public health emergency

Government orders, regulatory directives, or mandatory closures
-
Natural disasters (including flood, fire, earthquake, severe storm, or similar events)
-
War, civil unrest, or security threats
-
Utility disruptions (electricity, water, internet)
-
Labour shortages or industrial actions
-
Any other unforeseen circumstances beyond reasonable operational control
During Force Majeure Events:
-
The Centre may:
-
Temporarily suspend physical operations
-
Transition to alternative learning arrangements (online or remote)
-
Adjust schedules, programs, or service delivery
-
-
Fees remain payable unless expressly varied in writing by Management.
-
No automatic refunds, rebates, or fee reductions apply.
-
The Centre is not responsible for any indirect or consequential losses incurred by parents.
Prolonged closure may prompt review of operational adjustments at Management’s discretion for sustainability.
11. Payment Obligations
All payment obligations survive any temporary suspension, interruption, or modification of services, including during Force Majeure Events.
Fee obligations remain enforceable unless expressly varied in writing by Management.
No suspension automatically relieves parents of financial responsibilities.
12. No Waiver of Rights
Failure or delay by the Centre to enforce any provision of this policy shall not constitute a waiver of its rights.
Any waiver must be in writing and signed by authorized Management.
Decisions to grant leniency or exceptions in one instance do not create precedent for future cases.
13. Policy Amendments
Helen & Ben reserves the absolute right to amend, revise, or update this policy at any time without prior notice.
The latest published version on the official website shall prevail.
Continued enrollment and/or payment of fees constitutes acceptance of the revised policy.
